Create On-Demand Events

On-demand events are pre-recorded events, always open for new registrations that anyone can join 24/7 to get evergreen content. They are great for different situations, goals, and types of companies. You can either host a live session and make the replay available on-demand, or upload your video with or without a live session that will be available on-demand. We're going to explain to you how to do so.

Please note that the monthly active contact limit applies to on-demand events.

Make a Video Available On-Demand#

Whether you're hosting a live event or not, you can turn your event into an on-demand one at any moment

You have different options:

Recurring events can't be set up on-demand.

As soon as you have an on-demand registrant, you won't be able to add additional sessions to the event.

You can't create breakout rooms for on-demand events.

Use Your Event Replay After Your Live Event#

Once your live event is over, you can make your replay public and available on-demand. This way, you'll keep collecting registrations after your live event. The process is the same as for a live event. Everyone will be able to register for the replay from your registration page and receive the access code to enter the event room.

Here is what you need to do once your live event is over to make the replay available on-demand:

1Go to your event Settings >  Recording & on-demand.

2Select "Anyone on-demand" under the Replay access settings.

3Your replay is now available on-demand! 🎉

4On your dashboard, you can see that the event is now tagged as "ON DEMAND".

Upload/Embed Your Own Video After Your Live Event#

Once your live event is over, you can choose another video source to replace your replay and make it available on-demand to keep collecting registrations after your live event. The process is the same as for a live event. Everyone will be able to register for the replay from your registration page and receive the access code to enter the event room.

Here is what you need to do once your live event is over to upload/embed another video source to replace your replay:

1Go to your event Settings >  Recording & on-demand.

2Select "Anyone on-demand" under the Replay access settings.

3Choose if you want an embedded video by inserting your "Video iframe" or an "Uploaded video" under the Replay video source.

4Your video is now available on-demand! 🎉

5On your dashboard, you can see that the event is now tagged as "ON DEMAND".

Upload/Embed Your Own Video Without a Live Event#

You can either embed or upload your own video to make it available on-demand without hosting a Iive event.

You will still need to start and end an event to make it available on-demand (see step 4).

1Create your event (the date/time of the event doesn't matter in this case).

2Select "Anyone on-demand" under the Replay access settings.

3Choose if you want an embedded video by inserting your "Video iframe" or an "Uploaded video" under the Replay video source.

4Enter your event room, click on Start event, wait a few seconds, and then End event.

5Your video is now available on-demand! 🎉

6On your dashboard, you can see that the event is now tagged as "ON DEMAND".

Customize the On-Demand Event Email#

Once you make your event available on-demand, you can edit the confirmation email that is sent to your registrants.

1Go to your event Settings > Emails.

2Click on After on-demand registration to preview it.

3You can then edit it and even Send a test email to yourself.

As it's just a test email, the Watch now button isn't linked to the on-demand event room.

4You can also add your own email templates.

Display On-Demand Events on Your Company Page#

By default, events aren't displayed on the company page.

In order to display your on-demand event on your company page:

1Go to your event Settings > Registration.

2Check the "Display this event on my company page" box.

3Your on-demand event is now listed on your company page. 🎉

Interact With Registrants Inside the Event Room#

We recommend you to disable the Chat and Questions tab for on-demand events as you won't get notified if your registrants try to contact you.

To interact with your on-demand registrants, you can use one of our integrations, either IntercomHelp Scout, or Drift. You will find a step by step explanation to set them up on our dedicated articles:

View and Export On-Demand Data#

We provide on-demand registration data but not on-demand attendance data. The list of your on-demand registrants is on the People page of your event. 

The on-demand registrants have an "arrow" next to their name. This is how you can differentiate them from the live event registrant (if your on-demand event is a replay of a live event).

You can export the registration data with the Export button.
